About the Role
The Administrative Assistant / Office Coordinator provides disciplined administrative, organizational, and front‑office support to ensure smooth corporate operations across engineering, project delivery, and construction teams. This role upholds Multi‑Phase's standards of professionalism, accuracy, confidentiality, and high‑performance execution.
What You'll Do
- **Administrative Operations:** Manage reception, scheduling, correspondence, filing systems, and daily office workflows.
- **Executive & Team Support:** Coordinate calendars, prepare meeting materials, support travel arrangements, and assist with executive documentation.
- **Document Preparation:** Draft, edit, and format letters, reports, presentations, and corporate communications.
- **Procurement & Vendor Coordination:** Support purchase order processing, vendor onboarding, and administrative procurement tasks.
- **Office Systems & Facilities:** Maintain office supplies, equipment, service contracts, and coordinate IT or facility support.
- **Recordkeeping & Compliance:** Maintain accurate administrative records aligned with corporate governance and confidentiality requirements.
- **Onboarding & Team Coordination:** Support new‑hire onboarding, training logistics, and cross‑department communication.
What We're Looking For
- Diploma or certificate in Office Administration, Business Administration, or related field
- 2--5 years of administrative or office coordination experience
- Proficiency in Microsoft 365 (Word, Excel, Outlook, SharePoint)
- Strong written and verbal communication skills
- High attention to detail, organization, and confidentiality
- Ability to manage multiple priorities in a fast‑paced technical environment.
